Privacy policy

What we collect, and why

When you request a quote we collect the name, email address and — if you give one — phone number you enter, the language pair and any dates you tell us about, whatever you write in the message box, and the documents you attach. We need all of it for one purpose: to quote for the work and then to carry it out. That is a contractual basis, not consent, so we do not ask you to tick a box for it.

We also record which page the enquiry came from, so we know which of our pages are useful.

Please do not send us documents you do not need translated. If a file contains more personal data than the job requires, send only the pages that matter.

Your documents

Uploads travel over an encrypted connection and are stored encrypted. They are visible to the office manager handling your enquiry and to the translator assigned to your job, who is under a confidentiality agreement with us. They are never used to train any machine learning system, never sold, and never shared for marketing.

We delete your documents 30 days after your translation is delivered, automatically. Where we are required to keep a record of a transaction for accounting or tax purposes, that record is the invoice, not your documents.

Who processes your data

We keep this list short on purpose, and every processor below is bound by a data processing agreement:

• Vercel — hosting for this website and for the form that receives your enquiry.
• Resend — sends the email carrying your enquiry to us, and the confirmation to you.
• Microsoft 365 — our email. Your enquiry sits in our mailbox while we deal with it.
• Google Analytics — anonymised statistics about how this site is used, so we can improve it. It does not identify you.
• Google Ads — tells us that an advert led to an enquiry. It does not tell Google what you wrote or what you sent.
• Translators and interpreters working on your job, each under a confidentiality agreement.

How long we keep things

• Your documents: 30 days after delivery, then permanently deleted.
• Your enquiry and our correspondence: kept in our mailbox for as long as needed for customer service, and not used for marketing.
• Invoices and accounting records: for as long as Estonian law requires us to keep them.
• Analytics: anonymised, and retained according to Google’s own retention settings.

Your rights

Under the GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, or object to our processing it. Write to office@gb-translation.com and we will answer within one month. You also have the right to complain to a supervisory authority — in our case the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon).

Cookies

This site sets no cookies of its own. Google Analytics and Google Ads set their own cookies to measure visits and to attribute an enquiry to an advert. Those scripts are not loaded until you interact with the page.

Changes

If we change how we handle your data we will update this page. The practices described here apply to the current version of this website.
