Behind the scenes

How we work
the machinery behind a good translation

Every agency says "quality". This page says what actually happens to your files โ€” who touches them, where the terminology lives, what the machines do and do not do, and why the second year of working with us costs less than the first.

  • Native translators, one per direction
  • Every job revised by a second linguist
  • AI used openly, never silently
  • Your terminology in a maintained database
  • One named contact, start to finish

What happens to your project

The same four stages, whether it is one certificate or a four-language website.

  1. 1

    Scoping, by a person

A named project manager reads what you sent, asks the questions that change the price โ€” who is it for, which market, what format โ€” and quotes a fixed price with a date.

  2. 2

    Translation, by a native specialist

One translator per language, working exclusively into their own language and chosen for experience in your subject. Your translation memory and termbase are open beside them from the first sentence.

  3. 3

    Revision, by a second linguist

A full second pass against the source โ€” not a spot check. Names, numbers, dates and terminology are verified separately from the language itself.

  4. 4

    Delivery, in your format

Formatted, checked, and signed off by one of our office managers. If anything is worth flagging โ€” an ambiguity in the source, a term we had to decide โ€” it comes with a note, not a silence.

The database that makes year two cheaper than year one

Two things persist after every job we do for you, and they quietly become the most valuable part of the relationship.

The first is your translation memory: every sentence we have translated for you, stored as a pair with its translation. When next yearโ€™s report, the revised manual or the updated website comes in, everything we have seen before is recognised โ€” so it is not retranslated, not re-charged, and cannot come out differently than last time.

The second is your termbase: the researched, agreed translations of the terms that matter to you โ€” product names, legal terms, the phrase your industry uses that a generalist would get almost right. Terminology research is real work, and we do it once, write it down, and apply it forever, instead of doing it slightly differently every time.

Together they are why our long-standing clients get faster, cheaper and more consistent work every year โ€” and why handing a one-off job to the cheapest bidder each time costs more than it looks.

Happy to be of service,

Straight answers to fair questions

  • Where AI fits, honestly

Where machine translation genuinely helps, we use it โ€” openly, with a qualified translator revising every line. For marketing, contracts and anything regulated we do not start from a machine draft at all. We tell you which approach we are proposing, and why, in the quote.

  • Formatting is our problem

InDesign, XML, JSON, XLIFF, CMS exports, subtitle files. You send what you have and get back something ready to use โ€” layouts intact, placeholders unbroken, stamps and signatures where they belong.

  • Multiple languages, one programme

When something changes, it changes everywhere: one update, propagated across every language you publish in, kept consistent by the same memory and termbase. No language quietly falls behind.

  • One named contact

You deal with the same person throughout โ€” someone who knows your account, your terminology and your deadlines. Not a ticket queue, and not a different voice every time you write.

Frequently asked questions

Tap any question to see the answer!
Who actually translates my documents?
Qualified translators working exclusively into their own native language, chosen for experience in your sector. Every project is revised by a second linguist, and signed off by one of our office managers.
Do you use machine translation or AI?
Where it genuinely helps, and always with a qualified human translator revising the output โ€” never as a way to quietly deliver raw machine output at human prices. For marketing copy, contracts and anything regulated, we do not start from a machine draft at all. We will tell you plainly which approach we are proposing and why.
What exactly is a translation memory, and who owns it?
It is a database of everything we have translated for you, kept per client and never mixed with anyone elseโ€™s. It is built from your paid work, so if you ever leave, you can take it with you โ€” we will export it on request.
What goes into the termbase?
The terms worth deciding once: product names, legal and technical terms, phrasing your company insists on, and anything your reviewers have corrected โ€” which is how a correction made once sticks forever. You can send us an existing glossary to start from, or we build it as we go.
Can you take over from a previous agency or translator?
Yes. If you have previous translations, send them โ€” we can usually build a memory and termbase from them, so the consistency starts from what you already have rather than from zero.
What does the revision step actually involve?
A second linguist reads the full translation against the source โ€” not a sample โ€” and separately verifies names, numbers, dates and terminology. It exists because the translator is the worst-placed person to catch their own blind spot. It is not optional and not a premium tier; it is how every job leaves the house.
How do you price ongoing work?
We agree rates and turnaround once, keep a dedicated team on your account, and you send work without requoting each time โ€” with repetition and previously translated content discounted automatically. You get one fixed price per job before anything starts.
